Edmonton conference venues by room size and budget

Twelve Edmonton venues sorted by the size of their largest room, with the figures each venue publishes and how venue costs are built. Use it to make a shortlist before you call anyone.

The short answer

For more than 1,000 people, Edmonton's options are the Edmonton Convention Centre, the Edmonton EXPO Centre and a handful of large hotel ballrooms. From 300 to 1,000, look at the JW Marriott ICE District and the University of Alberta's Lister Centre. Under 300, the Royal Alberta Museum and University of Alberta spaces publish their room rates. Most hotels and the convention centres quote on request, so the real budget question is food and beverage, service charges and AV, not room rent.

1,000 guests and up

Capacities are each venue's own published figures for its largest room. Theatre is rows of chairs, banquet is round tables for a meal, reception is standing.

Where a venue's own pages disagree, we used the figure from its floor plan or capacity chart. The Convention Centre's Hall D is listed elsewhere at 1,866 theatre, and EXPO's arena appears at both 4,200 and 4,628 guests. Ask for the current floor plan before you sign.

How venue costs are built

Room rent is rarely the big number. Edmonton venues price in one of two ways.

  1. Room rental by the blockMuseums and university venues charge a flat rate for a half day, full day or evening, with furniture, staff and house AV included. Catering is ordered separately. You know most of your cost up front.
  2. Food and beverage firstHotels and convention centres usually quote the room on request and earn on food. At the Edmonton Convention Centre, every food and beverage charge carries an 18% gratuity, a 2% facility improvement fee and 5% GST, so a $60 plate costs about $75. The centre is the only food provider in the building, and house sound goes through its exclusive AV partner.

Line items that catch first-time planners, from the Convention Centre's 2026 services guide: each extra room set-up in a day costs 50% of the room rental, cleaning starts at $350, and the deposit is non-refundable. Food menus can't be price-guaranteed more than 180 days out. At the Royal Alberta Museum, cancelling more than 10 days out costs half the rental fee.

Rates are what each venue published on November 6, 2026 and change often. Confirm in writing before you budget.

How to choose

  • Size the room to your real number. Use last year's attendance, not registrations. A half-empty ballroom feels like a failed event.
  • Count the meal. Banquet capacity is often half of theatre. If you serve lunch, the banquet figure is your limit.
  • Count the breakouts. A conference with four tracks needs four rooms at the same time, plus a room for speakers.
  • Ask what's exclusive. Catering, AV and security are often in-house only. Get those quotes before you compare venues.
  • Check how people get there. Downtown and EXPO are on the LRT. South and west venues have free parking.
  • Book early. The large rooms go first. Our countdown tool works the dates back from yours.
