Privacy policy

What we collect

• What you send us through the contact form, email or phone: your name, email, phone number, organization and message.
• What you enter when you book a call through Calendly.
• What you enter when you sign up for the Spring 2027 Conference Countdown: your name and email, and any other details the form asks for, such as your organization or event date. The same applies to the 2027 Campaign Readiness Checklist: your name, email and, if you choose, your campaign or organization.
• Basic website analytics from Squarespace, such as pages visited and the type of device, which do not identify you by name. If you accept analytics cookies, we may also use Google Analytics and the Meta pixel to measure visits and the results of our ads.
• For clients: the information needed to deliver the work, such as delegate, speaker, volunteer or member contact lists you share with us.

How we use it

• To reply to you and schedule calls.
• To deliver the services you hire us for, invoice you and keep required business records.
• To improve the website.

If you sign up for the countdown, we email you the countdown and a short series of planning emails. If you ask for the readiness checklist and tick the consent box, we may send occasional emails about campaign events. Both lists are run in line with Canada’s Anti-Spam Legislation. Every email has an unsubscribe link, and you can opt out at any time. We do not add you to any other mailing list unless you ask us to.

Who we share it with

We do not sell or rent personal information. We share it only with service providers who help us run the business, such as our website host (Squarespace), scheduling tool (Calendly), email provider and customer relationship tool (HubSpot), and with contractors working on your project who are bound to keep it confidential. Some of these providers store data outside Canada, including in the United States, where it may be subject to local law. We also disclose information when the law requires it.

Client lists and voter data

Lists our clients share with us, such as delegate or member lists, belong to the client. We use them only to deliver that client’s work and delete or return them when the work ends. We never sell or supply voter data to anyone. The Voter Data Management System we offer is a tool for a campaign’s own lists, which the campaign is responsible for obtaining and using lawfully.

Cookies and third-party services

Squarespace, our website host, sets cookies needed to run the site and to count visits. Our pages load the Inter typeface from Google Fonts, which shares your IP address with Google. The Dragon Festival video loads from Facebook only after you press play, and booking a call takes you to Calendly. Google Analytics and the Meta pixel load only after you accept analytics cookies. Each of these services has its own privacy policy. You can change your choice at any time through the cookie banner on this site, or block and delete cookies in your browser settings.

How long we keep it

We keep countdown sign-ups until you unsubscribe, then remove you from the list. We keep enquiries for up to two years, and client records for as long as tax and business law requires, usually seven years. After that we delete them.

How we protect it

We use password-protected accounts with two-step verification, limit access to the people working on your project, and use reputable providers with their own security safeguards.

Your choices

You can ask to see the personal information we hold about you, ask us to correct it, or withdraw consent to its use, subject to legal limits. Email us and we will reply within 30 days. If you are not satisfied, you can contact the Office of the Information and Privacy Commissioner of Alberta.
